What are supervision notes in ABA?

Ongoing supervision is required for RBTs and for trainees accruing fieldwork hours, and it has to be documented. A note usually captures the date and duration, whether it was individual or group, what was observed or reviewed, and the feedback delivered.

Payers care about supervision too. Many require a supervising BCBA to be involved at a certain level for direct services to be covered, and supervision is often a billable service with its own documentation expectations.

Keeping these records current serves both audiences at once: it supports the certification requirements of the people being supervised and provides the audit trail a payer or accreditor may ask for later.

Supervision serves different purposes depending on who is receiving it. For a working RBT it is ongoing oversight of service delivery, with a required portion of their direct hours observed each month. For a trainee accumulating fieldwork toward certification it is also a qualification record, and the documentation requirements are correspondingly stricter because it will be reviewed when they apply.

A useful note captures more than attendance. Recording what was actually observed, the specific feedback given, and the action items agreed on turns supervision into something measurable - the next session can check whether the coaching took. Notes that record only a date and duration satisfy the paperwork while telling a reviewer, or the supervisor themselves, nothing about performance over time.

The records tend to be requested at inconvenient moments: a payer audit, a credentialing review, a certification application, or a personnel question about whether an issue was addressed. Because reconstructing months of supervision after the fact is close to impossible, practices keep these notes in the same system as session documentation rather than in a supervisor's private files.
